Adding members to your sweepstake: lists, roster and join links

5 min read

Members are the people taking part. They need a first and last name. An email address is optional (without one they won't get emails), and they never need an account.

Four ways to add them

Add member — type them in one at a time on the Members tab.

Bulk add — paste a list, one person per line, like Sam Jones, sam@example.com. Commas, tabs or spaces all work, and you can paste up to 500 at once. You'll see how many will be added before you confirm.

From roster — pick people you've added before. Your roster lives under People in the menu, and anyone you add to a competition is saved there automatically. Handy when you run a sweepstake every few months for the same office.

A join link — let people add themselves. Open the Share tab and switch on Live page link first, then use Copy invite on your competitions list. People enter their name and email, confirm they're 18 or over, and see the entry fee before they join. The link closes once the draw is scheduled or made.

The join link won't work until sharing is on. If someone says it shows "This invite isn't available", that's why.

Keeping track of who's paid

Tick Paid next to each member once they've handed over their entry. Pot (your records) adds up the paid entries. It's a record for you — SweepSquad never takes the money.

The people limit

Your plan sets how many people your organisation can save: Free 10, Tier 1 30, Tier 2 75, Tier 3 200. The same people can join as many sweepstakes as you like at no extra cost. Adding someone who's already on your list never uses another place. When you're two places from the limit a banner appears with Upgrade plan. At the limit, the add button becomes an upgrade button — once you've paid, the person you were adding is added for you. If a bulk add goes over, the extra names stay in the box so you can add them after upgrading. Plans and member places.

Emails when you add someone

Adding a member doesn't email them. If you want to say hello before the draw, use the mail menu on their row and choose Send welcome. Their "here are your competitors" email goes automatically when a scheduled draw finishes, or when you press Email … to all after an instant draw.

Adding someone after the draw

You can. They're given one competitor at random from whatever's left and emailed straight away. There's no redraw, so nobody else's competitors change. If every competitor has already been taken, you'll need to add them to your next sweepstake instead.

Editing and removing people

Changes made under People apply to every competition that person is in. To take someone out of one sweepstake that hasn't been drawn yet, remove them from that competition's Members tab.

To free up a place, archive them under People. Archiving someone frees their place. Their history in finished sweepstakes is kept. You can't archive someone while they're in a sweepstake that's been drawn but hasn't finished yet. Archived people can be reactivated later if you have a spare place. You can only delete someone completely if they've never been in any competition (handy for typos).
